Job Description

The receptionist plays a critical role in ensuring a positive first impression of the hotel/organization. This individual is responsible for managing the front desk, assisting guests with check-ins/check-outs, handling phone inquiries, and providing information about the property and services. A warm and welcoming demeanor is essential, as the receptionist is the first point of contact for guests or clients.

Key Responsibilities:

  1. Guest Service & Communication:

    • Greet guests warmly and professionally as they arrive.
    • Check-in/check-out guests promptly and accurately, providing them with relevant information.
    • Handle reservations, confirmations, and cancellations via phone, email, and in-person interactions.
    • Answer general inquiries, including information on amenities, directions, and local attractions.
    • Manage guest complaints or issues and escalate to management when needed.
  2. Administrative Support:

    • Maintain accurate records of guest arrivals, departures, and reservations.
    • Process payments and provide receipts for services rendered.
    • Keep track of inventory (e.g., room keys, office supplies) and report low stock to management.
    • Perform light administrative duties, including filing, data entry, and handling correspondence.
  3. Security & Safety:

    • Monitor the building's security by ensuring that only authorized individuals enter the premises.
    • Maintain a safe environment by following all hotel or company safety policies and procedures.
    • Assist with emergency procedures, if necessary, and inform guests of important safety information.
  4. Collaboration & Teamwork:

    • Work closely with housekeeping, maintenance, and other hotel departments to ensure smooth guest service.
    • Support team members during high-traffic periods, ensuring excellent service is maintained throughout the property.
  5. Technology and Systems:

    • Operate the hotel’s or organization’s reservation system, ensuring all guest data is up-to-date.
    • Assist guests with Wi-Fi, phone, and other technology-related inquiries.

Skills & Qualifications:

  • Education: High school diploma or equivalent required; additional education or certifications in hospitality management is a plus.
  • Experience: Previous experience in customer service or a front-desk role preferred, especially in the hospitality industry.
  • Skills:
    • Excellent communication and interpersonal skills.
    • Strong attention to detail and organizational abilities.
    • Ability to handle multiple tasks in a busy environment.

Working Conditions:
