Job Description
Telephone Handling & Call Management
  • Receive incoming calls promptly and professionally.

  • Transfer calls to the appropriate departments or personnel

  • Take and relay accurate messages when staff are unavailable.

Front Desk & Visitor Management

  • Welcome visitors and ensure they are directed to the correct department or person.

  • Maintain a log/register of all incoming visitors, noting time, purpose, and contact details.

  • Ensure visitor Appointments with respective representatives for a meeting.

Office Access & Security Monitoring

  • Monitor the office entrance to track people entering or leaving.

  • Verify visitor identity when needed and coordinate with respective Head

  • Alert relevant departments if any unauthorized access occurs.

Administrative Assistance

  • Support various departments with routine tasks when needed (e.g., courier reception, document handling, minor coordination tasks).

  • Maintain reception area cleanliness and organize promotional materials or notices.

Coordination & Communication

  • Communicate effectively between departments, management, and visitors.

  • Assist in scheduling appointments or meetings at the reception

  • Coordinate with housekeeping, security, and other staff for smooth office operations.

Emergency & Safety Protocols

  • Follow office emergency procedures in case of fire, medical, or other incidents.

  • Report any unusual activity or safety concerns to management promptly.

Record Keeping & Reporting

  • Maintain daily visitors and call logs accurately.

  • Provide reports on visitor trends or issues to management if requested.
